Email Policy & Anti-Spam Commitment
Effective date and last updated: October 30, 2026
Pacos Rescue Network sends a small number of transactional emails to people who have contacted us or applied through pacosrescuenetwork.org. We do not send marketing email of any kind. This policy explains exactly what we send, to whom, and how we protect recipients.
1. The emails we send
Every email we send is a direct, expected response to an action you took:
- Submission confirmations — a single email confirming we received your contact message, adoption application or foster application.
- Replies to your inquiry — personal answers from our team to the question you asked.
- Application status updates — next steps, scheduling and the outcome of the adoption or foster application you submitted.
- Donation acknowledgments — a written acknowledgment for tax purposes, only when you request one.
Emails are sent from addresses on our own domain, pacosrescuenetwork.org (for example info@pacosrescuenetwork.org), with accurate sender names and subject lines that describe the content.
2. What we never send
- No newsletters, promotions, fundraising campaigns or advertising.
- No bulk or unsolicited email to people who have not contacted us.
- No emails to purchased, rented, shared, scraped or third-party lists — we never acquire email addresses from anyone else.
- No emails on behalf of other organizations.
3. How we collect email addresses and consent
- We only use an email address that the owner typed into one of our forms or used to email us directly.
- Each form has a required, unticked consent checkbox stating that we may email the person about that request only. The form cannot be submitted without it.
- We store a record of each consent: the wording agreed to, the page and the date and time.
- Email addresses are used only for the request they were given for and are never shared or sold. See our Privacy Policy.
4. Volume and frequency
Our sending volume is low and driven entirely by requests. A typical request results in one confirmation email plus a few personal replies or status updates until the request is resolved. We do not send scheduled or recurring emails.
5. Opting out
- Every email includes an unsubscribe link that stops further emails immediately.
- You can also reply to any email or write to info@pacosrescuenetwork.org asking us to stop.
- Opt-out requests are honored immediately and always within 10 business days, as required by the U.S. CAN-SPAM Act. Unsubscribing is free and requires no login or personal information beyond your email address.
- Opted-out addresses are added to a suppression list so they are not emailed again.
6. Bounce and complaint handling
- Hard bounces (invalid or non-existent addresses) are automatically added to a suppression list and are never retried.
- Soft bounces (temporary problems such as a full mailbox) are retried a limited number of times; addresses that keep failing are suppressed.
- Complaints (an email marked as spam) result in the address being suppressed immediately and permanently.
- We monitor bounce and complaint notifications from our email service provider and review our sending if rates rise. We aim to keep bounce rates well below 2% and complaint rates below 0.1%.
- Form validation checks that email addresses are correctly formatted before we accept a submission, and spam protection blocks automated sign-ups.
7. Email content standards
- Every email identifies Pacos Rescue Network as the sender and includes our postal address: 6402 140th Avenue NE, Redmond, WA 98052.
- Subject lines and headers are accurate and never misleading.
- Our sending domain is authenticated with SPF and DKIM, and protected with a DMARC policy.
- We comply with the U.S. CAN-SPAM Act and the acceptable use policies of our email service providers, including the AWS Acceptable Use Policy.
8. Report a problem
If you received an email from us that you did not expect, or believe your address was used without permission, please email info@pacosrescuenetwork.org or call (609) 572-3061. We will investigate, suppress your address and reply promptly.
